How to organize a Secret Santa exchange
Secret Santa gives everyone one person to shop for and one surprise to look forward to. A little planning before the draw keeps the exchange easy for the whole group, whether you meet around a tree or send gifts across the country.
Start a free draw1. Get a yes before adding a name
Ask who wants to take part and give people a deadline to join. Confirm each participant’s name and email address before the draw. Do not add someone just because they were in last year’s exchange: their plans or budget may have changed.

2. Agree on a comfortable gift limit
Choose an amount everyone is happy to spend, then decide whether shipping counts toward it. A limit is a ceiling, not a spending target. Homemade gifts and thoughtful smaller gifts can fit the exchange just as well.
Enter the maximum gift amount in US dollars and add an exchange date. Use the organizer note for practical details such as where you will meet or how mailed gifts should arrive. Make these decisions before people start shopping.
3. Review the rules, then draw privately
If partners should not draw each other, pair them during setup and enable that option. You need at least four participants for partner exclusions. Review all names, email addresses, and group details before sending.

4. Give people useful gift ideas
Encourage everyone to open the personal gift form in their email and add a few ideas at different prices. Interests, favorite colors, useful sizes, and product links can all help. Include only information you are comfortable sharing with your gift giver.
Wish-list updates go to the person who drew you. Keep your personal link private because anyone with it can access your form and your assigned recipient’s wishes.
5. Keep the reveal simple
Choose whether people will guess their giver or reveal themselves when gifts are opened. For a remote exchange, arrange a call after parcels have arrived. Keep participation relaxed if a shipment is late.
If an invitation goes missing, resend the original assignment instead of creating a fresh draw. Save the group with a free organizer account if you want ongoing access. A completed draw should stay stable once people have started shopping.
